Punctuality and Courtesy

Arriving late may interfere with your treatment, all appointments will end at their scheduled time so that the next client will not be delayed, and a full charge may be applied. All times stated include preparation of room and client: i.e. 5 minutes at the beginning and end of treatment.

Please arrive 10 minutes prior to treatment if it is your first appointment at the salon. We require this time for you to complete a medical questionnaire, this document is on an Ipad and is password protected used for treatment purposes only.

We occasionally have varied opening hours to accommodate holiday, bank holidays and staff leave or sickness. If you have any problems getting through to our clinics, please email:

Cancellations & No-Show Charges

Please note 48 hours’ notice is required for all cancellations. If you cancel your appointment within this period or a no show occurs your deposit will be forfeited. 


Adjustments to Appointment Booking times

From time to time our admin staff will make appointment adjustments. These adjustments are usually +/- 20 minutes (maximum). The adjustment to appointment will trigger an email to alert you. If the adjusted time isn’t achievable, please let us know.

Our team will do their best to communicate all changes with you.


Deposits

All deposits are non-refundable. If an appointment is cancelled within our cancellation policy the deposit will stay on account, redeemable for 3 months from paying your deposit.


Complaints Procedure

We endeavour to provide a professional and satisfactory service to all of our consumers, however we accept that from time to time our clients may have feedback about our service. We are always open to receiving feedback and will randomly hand out ‘Patient Satisfaction Questionnaires’ when you visit our clinic. This allows us to audit honest and anonymous feedback to improve our services.

To resolve any issues experienced from treatments, the first step of our complaint’s procedure is:

  1. A follow up appointment will be required with the treating nurse, we will not be able to resolve any issues unless reviewed by consultation. Please call or email our admin team to discuss a follow up.
  2. A written and detailed letter / email prior to attending your consultation will be required to understand the issues involved.
  3. If you have electively sought an opinion or treatment elsewhere in association with your current issue, the last treating clinic will then be responsible for you and your care moving forward.
  4. If we were to require additional support or professional opinions based on an uncertain presentation, then we have processes in place to do so.
  5. The overall report will be written up and sent to management for review
  6. Management will review the complaint and respond to you within 30 days of receiving the complaint. This will be in written form via email.

We aim to resolve all issues experienced and ask our patients to approach our staff with respect during this time. Aggressive and disrespectful behaviour will not be tolerated.


Purchase of Retail Products

All products must be paid for in full at time of purchase or ordering.


Prepaid Courses of Treatments

Have a validity of 12 months from date of purchase, unless otherwise stated.

If a cancellation or no show occurs within the 48 hours on any courses paid for, a course session will be deducted for each booking contents. For example, if 3 areas of hair removal are booked for a single day, then you will lose 3 sessions of your course.


Gift Vouchers

Gift Vouchers are non-refundable and are valid for 12 months from the purchase date and will not be accepted after the expiry date. Vouchers may be used for all services. Vouchers cannot be redeemed for cash, sold, or transferred. Your gift voucher number must be quoted at the time of booking and the voucher handed to the receptionist at the start of your treatment. You are not under obligation to use the full value of your vouchers during one session. Late cancellation and “failure to show” terms as laid out above also apply to gift vouchers. Gift Vouchers cannot be redeemed against aesthetic treatments.


Price Alteration

We reserve the right to alter prices without prior notice.


Smoking

Please note that it is illegal to smoke anywhere in the Clinic.


Data Security

Personal details taken from clients during consultation procedures will be kept safe and in the strictest confidence. We would, on occasion like to send you details of open evenings and special promotions. Also, we occasionally post pictures to our social media accounts, If you would rather not receive these or have your pictures kept confidential please let us know.


Medical Conditions

Please inform your Nurse of any medical condition including pregnancy prior to booking as some treatments may not be appropriate for you.


Children

Please understand that we cannot accommodate children under 12 unless supervised by an adult during your treatment.


Hygiene

Clinic Hygiene is, of course, the utmost importance and to achieve optimal cleanliness all our sterilisation equipment is approved by the local Environmental Health Officer. We only use new sterilised disposable needles for each client.


Payment

Most credit and debit Cards are accepted, American Express, cash or cheque. All prices include value added tax at a current rate.


Patch Testing

Patch testing required for ALL clients who are having Laser Treatments.


Personal Items

Please ensure you retrieve all your personal items before leaving the premises as we cannot be held responsible for lost items.


Refunds

Here at Ciao Bella Aesthetics we run a strict NO Refund policy. However, we will go through all possibilities to come up with a satisfactory solution to your query.


Consultations

All treatments are subject to consultation with one of our Registered Nurses who are appropriately trained to make decisions for treatment based on physical and mental health.

Some of the team have limited knowledge on more specific / specialist treatments. If booking for a treatment less generic, such as Laser for skin resurfacing, Coolsculpting, Fat dissolving injections or treatments that may be less generic please call our Admin Team to be paired with a correct consulting nurse. ** NOTE: List is not extensive**

All treatments will be discussed in full including downtime, side effects, outcomes and duration of results. This information is also emailed to you after your visit to the clinic.

The nurses have the right to refuse treatment at any given time but they will kindly explain any reasons for refusing or delaying treatment. There are occasions when you may also not be suitable for a treatment, despite not being suitable, your consultation fee will still apply. If the nurse is unsure, she will seek a second professional opinion, be that of the team or of a medically trained nature external to the company.

Overall we want you to have the safest experience and so operate vigilance in all treatment approaches is our key priority.
